Ranchi: In order to make administrative work hassle-free and to make the purchase of medical equipment and any type of monetary transaction transparent, the Rajendra Institute of Medical Sciences (Rims) has implemented an e-office system.
An order was issued in this regard by the state-run hospital’s additional director (administration), Chandan Kumar, on August 4. The order has directed the office superintendents to start all official and administrative correspondence through the new system,
Talking to TOI, Kumar said, “Now all bill payments and new correspondence from one official to another is being done through the e-office system on a real time basis.”
The hospital’s staff have already been given adequate training on the new system, which has been built by the Jharkhand Agency for Promotion of Information Technology.
Asked about the benefits of the new system, Kumar said, “We have come across many cases where payments of consumables and of those supplying us with equipment were left pending for years because the required file could not be traced, etc.. This was leading to a shortage of supplies in the hospital. Now we are going to make keep track on such files with the help of the new system so that such situation can be avoided. Apart from that, all files related to the services of staff, including the doctors, are also being uploaded online and the payment of salaries, HRA, purchase will be approved through the e-office.”
This system will also rectify and ease the tender process as many have run into controversies, Kumar added. “Documents related to tenders where there have been some differences on GST pricing and L-1 issues are being digitized and once that is over, we will also bring the store on an online platform,” he said.
“Records of all tenders which have any kind of differences in rate or GST inclusion are being investigated and if any systematic mistake takes place, it will be eliminated once all the files are uploaded online,” Kumar added.
